Safe Harbour Minds

Training Services Agreement – Workplace & Community Group Bookings
 

This Training Services Agreement outlines the terms and conditions that apply to workplace and community group bookings with Safe Harbour Minds. By confirming a booking, the booking organisation acknowledges that it has read, understood and agrees to these terms.
 

1. Booking Confirmation

Workplace and community group training bookings are confirmed once the training date, location, participant numbers, course fees and delivery arrangements have been agreed to in writing.

A minimum of six (6) participants and a maximum of fourteen (14) participants applies to all training sessions (unless otherwise agreed).

Final participant numbers must be confirmed prior to invoicing. An invoice will be issued in accordance with the agreed payment terms.
 

2. Participant Requirements

To be eligible for course accreditation (where applicable), participants are expected to:

  • Attend the full course (12 hours).

  • Arrive on time for all sessions.

  • Participate respectfully in discussions and learning activities.

  • Complete all required course activities and assessments.

  • Maintain confidentiality regarding any personal experiences shared during the training.
     

3. Late Arrival

Participants arriving more than 20 minutes after the scheduled start time may not meet the attendance requirements for accreditation and may be unable to receive a course certificate.
 

4. Partial Attendance

Accreditation cannot be awarded for partial attendance.

Participants who are unable to complete the full course may be required to attend another course to complete the outstanding components. Additional fees may apply.
 

5. Host Organisation Responsibilities

The booking organisation agrees to:

  • Provide a suitable training venue that is clean, comfortable, quiet and free from unnecessary interruptions.

  • Provide suitable seating and tables for all participants and the facilitator.

  • Provide appropriate audio-visual equipment, including a data projector, screen or television with an HDMI connection (unless otherwise agreed).

  • Ensure participants are released from normal work duties and are available to attend the entire training without interruption.

  • Confirm final participant numbers before invoicing.

  • Advise Safe Harbour Minds of any venue access requirements, parking arrangements or workplace procedures relevant to the delivery of the training.

  • Where agreed, provide refreshments and meal arrangements for participants.
     

6. Learning Environment

Safe Harbour Minds is committed to providing a safe, respectful and inclusive learning environment for everyone involved in the training.

Participants are expected to:

  • Treat all participants and facilitators with courtesy and respect.

  • Respect differing experiences, perspectives and opinions.

  • Participate positively in discussions and learning activities.

  • Maintain confidentiality regarding personal information shared during the course.
     

Disruptive, aggressive, discriminatory, harassing or otherwise inappropriate behaviour will not be tolerated.
 

Safe Harbour Minds reserves the right to remove any participant whose behaviour negatively impacts the learning environment or the safety and wellbeing of others. Participants removed from training due to inappropriate behaviour will not be eligible for certification.
 

7. Course Certification

Certificates are issued in accordance with the requirements of the relevant training program and accreditation body.

Participants must successfully complete all required course components, assessments and attendance requirements to be eligible for certification.
 

8. Privacy

Safe Harbour Minds is committed to protecting the privacy and confidentiality of all participants and booking organisations.
 

Personal information collected during the booking process and throughout the delivery of training is used solely for the purposes of:

  • Managing course bookings and administration.

  • Communicating important course information.

  • Issuing certificates and accreditation documentation.

  • Meeting the requirements of the relevant accreditation body.

  • Complying with legal and regulatory obligations.
     

Safe Harbour Minds will take reasonable steps to ensure personal information is stored securely and handled in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

Personal information will only be disclosed:

  • Where required to administer accredited training or issue certification.

  • Where required or authorised by law.

  • With the individual's consent.
     

Participants are encouraged to respect the privacy of others by maintaining confidentiality regarding personal experiences or information shared during training.
 

9. Changes to Participant Numbers

A minimum booking of six (6) participants and a maximum of fourteen (14) participants applies to all workplace and community group training sessions.
 

The booking organisation must confirm final participant numbers prior to invoicing.

  • Participant numbers may be increased before the training date, subject to course capacity and the availability of course materials.

  • Requests to reduce participant numbers after the final participant numbers have been confirmed and invoiced will not reduce the agreed training fee unless otherwise agreed in writing by Safe Harbour Minds.

  • If participant numbers fall below the minimum requirement of six, Safe Harbour Minds reserves the right to reschedule the training or revise the quoted fee in consultation with the booking organisation.
     

10. Cancellation and Rescheduling
 

Cancellation by the Booking Organisation

  • Cancellations made 14 days or more before the scheduled training date may be rescheduled or refunded by mutual agreement.

  • Cancellations made less than 14 days before the scheduled training date may incur cancellation fees to cover preparation, administration, venue (where applicable) and facilitator costs.

  • Requests to reschedule training will be considered where practical and are subject to facilitator availability.
     

Cancellation by Safe Harbour Minds:

Safe Harbour Minds reserves the right to postpone or cancel training due to trainer illness, emergency situations or other circumstances beyond our reasonable control.

Where this occurs, the booking organisation will be offered either:

  • Transfer to a mutually agreed alternative training date; or

  • A full refund of any fees already paid.
     

Safe Harbour Minds' liability is limited to the amount paid for the training and does not extend to any indirect or consequential costs incurred by the booking organisation.
